Assistant Logistics Manager (Import/Export Documentation) Full-Time

Key Responsibilities

  • Prepare, verify, and manage Import Documentation and Export Documentation, including Commercial Invoices, Packing Lists, BL, AWB, COO, HS Codes, and all Trade Documentation required for international shipments.
  • Coordinate daily with Freight Forwarding partners, Shipping Lines, Clearing Agents, courier companies, and logistics vendors to ensure smooth Shipping Operations.
  • Track consignments and handle Shipment Tracking, delivery follow-ups, and Delivery Coordination, ensuring no delays in cargo movement.
  • Manage BOI Clearance and Customs Clearance procedures using systems such as ASYCUDA, ensuring compliance with all regulatory frameworks.
  • Handle shipment arrangements with suppliers and customers, ensuring all Incoterms and documentation requirements are clearly communicated.
  • Maintain well-organized filing and digital archiving for all Import/Export Compliance records to support audits and internal controls.
  • Assist in negotiating Freight Rates, managing logistics contracts, and performing effective Vendor Management with freight forwarders and service providers.
  • Support overall Logistics Coordination by updating Inventory data, monitoring inbound/outbound shipments, and ensuring accuracy across ERP/logistics systems.
  • Work directly with Finance for duty calculations, freight cost verification, invoice reconciliation, and cost control.
  • Prepare logistics KPIs, dashboards, and operational reports to support supply chain decision-making.
  • Ensure all activities align with Supply Chain standards, trade regulations, compliance rules, and company procedures.
  • Identify operational gaps and support process improvement to enhance documentation quality, workflow efficiency, and error reduction.

 

Requirements

  • Male/Female 
  • Age below 35
  • Degree/Diploma in Logistics, Supply Chain Management, International Business, or a related discipline.
  • Preferably with professional qualifications such as SLFFA, CILT, or certifications in Freight Forwarding or Shipping Operations.
  • 2–4 years of hands-on experience in Import Documentation, Export Documentation, Freight Forwarding, and Logistics Coordination preferably in a manufacturing industry.
  • Strong practical knowledge in BOI Clearance, Customs Clearance, ASYCUDA, HS Codes, and Incoterms.
  • Proven ability to manage Trade Documentation, including BL, AWB, COO, Commercial Invoices, and Packing Lists.
  • Excellent communication skills to coordinate effectively with suppliers, customers, clearing agents, and internal teams.
  • High attention to detail with strong compliance-focused document verification skills.
  • Ability to multitask, prioritize deadlines, and manage Shipping Operations under pressure.
  • Proficiency in MS Office, ERP systems, and logistics software used for Inventory, shipment tracking, and operational reports.
  • Problem-solving mindset to handle delays, documentation issues, and cargo movement challenges professionally.
  • Analytical skills to generate logistics KPIs, shipment dashboards, and performance reports.
